We are seeking a highly polished and resourceful Executive Assistant to support the CEO of a private equity real estate firm. This is a high-trust, high-visibility role supporting a principal whose professional and personal life are deeply intertwined and who maintains an extensive domestic and international travel schedule. The ideal candidate operates with the judgment of a chief of staff, the precision of a top-tier EA, and the discretion of someone accustomed to managing sensitive, confidential information at the highest level.

This is not a 9-to-5 role. The successful candidate will anticipate needs before they arise, solve problems independently, and serve as a true extension of the CEO across every domain of their life.

Calendar & Time Management

  • Own and proactively manage a complex, fast-changing calendar spanning annual meetings, LP/investor calls, portfolio company visits, deal negotiations, and personal commitments
  • Ruthlessly prioritize competing demands and resolve conflicts without constant escalation
  • Build in travel buffers, prep time, and recovery time around high-intensity periods

Travel Coordination (Extensive Domestic & International)

  • Plan and book complex, often multi-leg itineraries (commercial aviation, ground transport, hotels), frequently with short notice or last-minute changes
  • Coordinate visas, passports, customs/immigration requirements, and travel documentation
  • Build detailed itineraries accounting for time zones, weather, and contingency plans
  • Travel occasionally with the CEO or be reachable in real time during trips to solve issues remotely

Business Support

  • Prepare, proofread, and format materials, LP communications, presentations, and correspondence
  • Coordinate with portfolio company executives, General Counsel, IR, and Finance teams on scheduling and logistics
  • Manage expense reporting, invoice processing, and reconciliation
  • Screen and triage calls, emails, and requests; draft correspondence on the CEO’s behalf
  • Coordinate and staff meetings, offsites, and firm events (dinners, investor conferences, annual meetings)

Personal & Household Support

  • Manage personal appointments (medical, family, personal trainers, etc.) and coordinate with household staff, property managers, and family members
  • Oversee logistics for multiple residences (maintenance vendors, deliveries, seasonal opening/closing)
  • Manage personal travel, family trips, and special occasions (gifts, reservations, event planning)
  • Handle personal bill pay, subscriptions, and administrative errands as needed
  • Coordinate with private service providers (drivers, security, contractors, tutors, etc.)

Confidentiality & Judgment

  • Handle highly sensitive financial, business, and personal information with absolute discretion
  • Exercise independent judgment on what requires the CEO’s attention versus what can be resolved directly
  • Maintain strict confidentiality regarding deal activity, personal matters, and family information

Qualifications

  • 7+ years supporting C-suite executives, ideally in private equity, investment banking, hedge funds, or another high-intensity financial services environment
  • Demonstrated experience blending complex business and personal support for a principal
  • Exceptional organizational skills and an ability to manage shifting priorities in real time
  • Outstanding written and verbal communication; comfortable interfacing with executives, LPs, family members, and household staff alike
  • Availability for after-hours
  • Proficiency with Microsoft Office/Google Workspace, expense platforms, and travel booking tools
